HKSYC&IA Wong Tai Shan Memorial College takes teaching into the next era with smart-cards and document management solution developed by Fuji Xerox and BroadLearning
 

New solution halves printing costs, while document management portal streamlines the process of class administration and building teaching materials

Fuji Xerox, The Document Company, has partnered with BroadLearning to help Hong Kong secondary school HKSYC&IA Wong Tai Shan Memorial College take its teaching and administrative systems into a by making use of smart-cards, advanced document management solutions and online offerings that allow students to share coursework and related documents.

An integrated solution with Fuji Xerox' Document Centre C360 multifunction device with smartcard payment system, and BroadLearning's eClass system, the end-to-end solution will provide staff and students of the Hong Kong secondary school with a reliable smart-card payment method, plus a new eLearning and document management portal. In addition, the school will be using Fuji Xerox' recently launched Customer Care Officer service to help design, colourful newsletter, posters and leaflets.

The new solution, which fully integrates eClass with the Document Centre C360, replaces a previous system which, although it supported e-payment, was poorly maintained and supported by the vendor. As a result, when smart-cards became damaged there were lengthy delays to replace them. In addition, although document sharing was possible, it was complicated, time-consuming and inefficient.

With the Fuji Xerox/BroadLearning approach, students can not only use their smartcards from any PC to pay for their printing and copying needs, they can also scan and hand in their homework and other exercises online, and can manage their own personal learning records via a personal eClass account.

"Hong Kong's primary and secondary schools have a huge demand for printing, copying and sharing documents," said Debby Chan, Director of Marketing at Fuji Xerox. This solution will be of great benefit to staff and students alike. It makes payment quick and simple and, above all, it offers a portal that supports the sharing of all manner of documents. This will help to streamline many of the document-centric aspects of the education process."

The old system was also wasteful of resources since there was a great deal of duplication in terms of copying and printing. Scanning was also unnecessarily complicated since the teachers had to share a computer that was set up for the purpose. They would scan their documents, save them to a floppy disc, and then take them back to their own PCs.

"The new system provides all users with access to their personal eClass iFolder and enables teachers to scan documents to the shared area directly. This streamlines the process of building teaching materials at the online portal," said Dr. Charles Cheng, CEO of BroadLearning.

HKSYC&IA Wong Tai Shan Memorial College was initially planning to simply replace its old stand-alone copier/PC solution. When the school began talking to BroadLearning, it soon realised it could achieve a much bigger goal.

"BroadLearning's eClass solution integrates seamlessly with the Fuji Xerox Document Centre C360 multifunction device, enabling us to handle scanning, network printing and other document management tasks concurrently," said Au Yeung Fung Chor, General Work in Charge at HKSYC&IA Wong Tai Shan Memorial College.

Previously, smart cards were used as ID cards, library cards and e-payment cards for general school fees. With the new system, they can handle teachers' and students' printing fees and in future, members of the school will be able to use them to access different special classrooms such as the computer room.

The Fuji Xerox Document Centre C360 also helps to save paper since its users re-confirm the documents they wish to print. Having pressed the print button on the computer, they reconfirm which document they wish to print by selecting it from the print queue on the Document Centre C360.
